Position Description

Reporting to the Executive Director, the Visitor and Member Services Coordinator attends to visitors, donors, and members and provides information regarding the museum and its programs to the general public. This position is in charge of directing external communications to appropriate staff, as well as completing a variety of administrative and event preparation duties. Must be friendly and welcoming to visitors, dependable, trustworthy, discrete, strong attention to detail, organized. The Visitor and Member Services Coordinator must also be a positive and friendly ‘first face’ to our public and partners, and be able to work well in a professional, collaborative team environment. Candidates must have excellent communication and organization skills and be very comfortable with  digital technology and computer software systems. Previous administrative, reception, development, and event experience preferred. We are willing to train museum-specific job functions for the right candidate.

While performing the duties of this job, the employee is frequently required to climb stairs, stand, walk, lift, stand on ladders. The employee is required to sit and stand and reach with hands and arms. The employee must occasionally lift and/or move up to 40 pounds. Specific vision abilities required by this job include close vision, distance vision and ability to adjust focus.

 

Additional Requirements

Must have valid Montana driver’s license, clean driving record, and reliable transportation. Must be available to work Saturdays and occasional evening and weekend events.

 

Essential Job Duties and Responsibilities

  • Assist with membership and donor correspondence, monthly renewal mailings, database entry, school memberships, and tracking
  • Assist with planning membership and donor events, scheduling public and school tours
  • Greet museum patrons and collect admission fees, run POS system and prepare opening and closing daily sales and deposits
  • Direct incoming calls and emails, provide information on exhibits, programs, classes and events, and provide accurate messages to staff in timely manner
  • Provide assistance to gift shop customers and handle purchase transactions
  • Assist with member and public events and programs including: accepting and tracking RSVPs and ticket sales, set up and take down, and helping event patrons
  • Assist with class and event registrations, dues and ticket sales
  • Help maintain gift shop inventory and displays
  • Responsible for professional museum presentation including: restock bathrooms, dust and clean displays and exhibits as trained, maintain organized reception area, sweep floors and front steps, shovel sidewalks and steps
  • Assist with light duties at events, ongoing programs, classes and fundraiser events
  • Other duties as assigned

Education and Experience:

  • Bachelors or Associates Degree preferred
  • Outgoing and friendly disposition
  • Interest in the arts and museums. Appreciation of nature and the outdoors, familiarity with Glacier National Park and Montana a plus
  • Customer service experience
  •  Ability to communicate effectively with individuals of varying social and cultural backgrounds
  •  Demonstrated ability to multi-task and work in fast-paced environment
  • Attention to detail and organized
  • Cash handling and Point of Sale system skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and donor database software or similar required. Familiarity with other software, including Adobe Creative Suite, presentation software, internet research databases, and social media platforms, a plus.
  •  Takes initiative and will carry out work assignments with little supervision, in a timely manner
  • Capable of following set procedures

This is a part-time, hourly position for 25 hours per week, 4 days a week (Tuesday-Thursday and seasonal Saturdays), some evenings and seasonal weekend events required. Wage: $20 per hour. Pro-rated vacation and sick leave, paid holidays.

Become a Docent Share your interest and love of art with Museum visitors

Docents at Glacier Art Museum are volunteers who conduct educational tours for schools, Thursday and Saturday public tours, and outreach presentations. While guiding visitors through the Museum’s permanent collection and special exhibitions they enrich the viewer’s experience by engaging interest, deepening understanding of art, and bringing artworks to life.

What is required of a Docent?
No artistic background is needed!– adults with a love of art and willingness to give a commitment of time are invited to join the program. Docents must have the time to commit to:

  • Docent training sessions
  • Attend meetings – 10:00 am on the first Monday of each month
  • Conduct research
  • Attend gallery talks, artist demonstrations, and lectures
  • Conduct tours through the galleries

Docent Training
Initial training includes an orientation session, training sessions, tour observation, conducting research, and spending time in the galleries. Participants will explore a variety of ways to lead visitors through the Museum's exhibitions and obtain knowledge about various aspects of art, art theory, and art history.
